First, Follow the Money
Imagine spending $5,000 this month on marketing.
The ads work.
People click.
Forms come in.
The phone rings.
Potential patients ask about Botox, fillers, lasers, facials, body treatments, or that shiny new device sitting in Room Three.
Marketing did its job.
It created interest.
But creating interest and converting interest are two very different jobs.
That is where the trouble starts.
Because once the lead arrives, marketing hands the baton to your team.
And sometimes...
the baton gets dropped. 🏃♀️

The $500 Question That Gets a $5 Answer
TListen to enough patient calls and a pattern starts to show up.
A patient calls.
She asks a question.
The coordinator answers it.
She asks another question.
The coordinator answers that too.
Then another.
Answer.
Question.
Answer.
Question.
Answer.
Then:
“Okay, thanks. I’ll think about it.”
And the coordinator says:
“No problem! Call us when you’re ready.”
Click.
That was not a bad call.
The coordinator may have been warm.
Polite.
Helpful.
She may have known every treatment backward and forward.
But she did not convert the interest into a next step.
That is a very different skill.

Answering Questions Is Not Converting Leads
This is the shift.
A Patient Coordinator’s job is not just to give information.
Google can give information.
Your website can give information.
AI can give a whole lot of information before breakfast. ☕️
A great Patient Coordinator does something different.
She guides a decision.
That starts by understanding why the patient called.
Not just:
“What treatment are you interested in?”
But:
“What are you hoping to change?”
Now there is a conversation.

The 5-Part Conversion Shift
Instead of training your team to simply answer, train them to move through five simple stages.
1. DISCOVER 🔎
Find out what the patient actually wants.
Not just the treatment.
The result.
She may say she wants Botox.
But what she really wants may be to stop looking tired in Zoom calls.
She may ask about a laser.
But what she really wants is to finally feel comfortable without makeup.
Treatments are what people buy.
Results are why they buy them.
2. UNDERSTAND 👂
Now listen.
What matters to her?
What has she tried?
What worries her?
Why now?
This is where conversion starts to feel less like “sales” and more like five-star service.
Because luxury clients do not want to feel processed.
They want to feel understood. 💎
3. BUILD TRUST 🤝
Once the coordinator understands the goal, she can connect that goal to the right next step.
Not with a 12-minute lecture about wavelengths, peptides, units, or technology.

Keep it simple.
Show the patient:
“We understand what you want, and we know how to help.”
That is trust.
4. GUIDE ➡️
Here is where many calls fall apart.
The patient gives a signal:
“How soon could I get in?”
“Do you have anything after work?”
“Would I need a consultation first?”
Those are not random questions.
They can be buying signals.
And then there are Exit Signals:
“I need to check my schedule.”
“Let me think about it.”
“I’m going to call around.”
“I’ll call you back.”
An untrained coordinator hears information.
A trained coordinator hears:
🚨 The conversation just changed.
That is the moment to guide.
Not push.
Not chase.
Not pounce like a salesperson who just smelled commission.
Guide.
5. BOOK 📅
The goal of the conversation should be a clear next step.
Maybe that is:
A consultation
A treatment appointment
A follow-up call
But the patient should not simply float away into the land of:
“I’ll call you back.”
Because we all know that land.
It is crowded.
And apparently nobody there owns a phone. 😂
📊 Before Buying More Leads, Measure This
Here is a simple exercise.
Pull a sample of recent calls from new leads.
Then ask:
How many became booked appointments?
Next, listen to the calls that did not book.
Look for the moment things changed.
Was there:
A price objection?
A question the coordinator answered but never explored?
A buying signal that went unnoticed?
An Exit Signal?
No clear ask for the appointment?
This is where the gold may be hiding.
Because improving conversion does something buying more leads cannot.
It gets more value from marketing you are already paying for.
🪣 Stop Pouring More Water Into a Leaky Bucket
If 100 leads enter your business and too few book, buying another 100 leads does not solve the core problem.
It feeds it.
That is like filling a bathtub while the drain is open.
More water?
Sure.
But perhaps deal with the drain first. 🛁
The same goes for your med spa.
Before asking:
“How can we get more leads?”
Ask:
“What happens to the leads we already have?”
That question can change everything.
